This Privacy Policy describes how Eagle Vale Golf Club collects, uses, and shares information when you use the ClubhouseOS platform at our facility.

1. Information We Collect

When you check in at Eagle Vale Golf Club, we may collect:

• Contact info — name, email, and (optionally) phone number
• Round details — party size, tee time, cart number, birth year (for demographics)
• Touchpoint activity — stations you scan your Player Pass at during your round (pro shop, bar, halfway house, cart, checkout), timestamps, and any purchases logged

2. How We Use Information

We use this information to:

• Provide your round experience (session QR, touchpoint tracking, pace-of-play feedback)
• Send transactional SMS messages if you have explicitly opted in (see our SMS Terms)
• Produce operational reports for Eagle Vale Golf Club (round volumes, pace, revenue by station)
• Improve the ClubhouseOS service

3. SMS Messaging

We send SMS messages only to golfers who provide a phone number and explicitly check the SMS consent box on the check-in form. No SMS is sent without that opt-in. Consent is collected as a separate, unbundled checkbox — it is not included in this Privacy Policy or in any terms of service. You can opt out anytime by replying STOP. Mobile opt-in information and consent is never shared with third parties for marketing purposes.

4. Sharing

We share information only with:

• Eagle Vale Golf Club — the facility you checked in at, to operate their business
• Service providers — Twilio (SMS delivery), Railway (hosting), PostgreSQL-hosted databases, Apple (wallet pass issuance). These providers are bound by their own data agreements and cannot use your data for their own purposes.
• Legal requirements — if required by law, subpoena, or to protect against misuse

We do not sell your personal information. We do not share phone numbers or SMS opt-in data with any third party for marketing.

5. Data Retention

We retain round and touchpoint data for operational reporting and historical analysis. You can request deletion of your personal information at any time by emailing info@clubhouse-os.com.

6. Your Rights

You can:

• Opt out of SMS anytime by replying STOP
• Request a copy of the information we have about you
• Request deletion of your information
• Correct inaccurate information

7. Children

The ClubhouseOS platform is intended for adult golfers and guests. We do not knowingly collect personal information from children under 13. If you believe a child has provided information, contact us and we will delete it.

8. Security

We use industry-standard encryption in transit (HTTPS) and at rest for stored data. No system is perfectly secure, but we take reasonable steps to protect your information.

9. Changes

We may update this Privacy Policy. The revised version will be posted here with an updated "Last updated" date.
